Here are details on the available roles:

1. EXECUTIVE SECRETARY

Manages administrative matters of the organization

Roles & Responsibilities:

- Serves as a member of the Executive Committee, attends and reports to the Executive Committee monthly (coordinates with all other committees for smoother operations, presents dashboard to closely monitor 2KK’s objectives based on the purpose-mission-vision)

- In charge of the Executive Committee Minutes of the Meeting note-taking

- Leads tracking and monitoring of all 2KK activities

- Leads content creation of 2KK’s Annual Report

- Manages 2KK’s internal information dissemination (coordinates with Marketing for external communication)

- Maintains 2KK’s calendar of activities (internal and external)

- Manages and oversees all databases, records, dashboards, surveys, evaluations, and all event documentation of 2KK (via Google Drive; ensuring we document in the most effective and efficient way)

- Manages and oversees all processes, ensuring that these are established, communicated and followed (per committee processes, proposals/planning/execution/evaluation/feedback, data privacy/photo-video consent, etc.)

- Coordinates closely with 2KK’s Legal Advisor for official documents and processes

- Provides analysis and insights as feedback for the Executive Committee

Qualifications:

- Must have commitment and passion for 2KK’s purpose-mission-vision given that it is a volunteer-run foundation (volunteer time 2-3 hours per week, expected attendance in meetings and events)

- Able to work independently and coordinate with fellow Executive Committee Members on their accountabilities

- Detail-oriented and well-organized (database/records/calendaring/timelines)

- Has data management and analytical skills

- Ability to present clearly to the Executive Committee (storytelling is a plus)

- Focused and goal-oriented, takes initiative

 

2. VOLUNTEER MANAGEMENT DIRECTOR

Manages the overall volunteer experience

Roles & Responsibilities:

- Serves as a member of the Executive Committee, attends and reports to the Executive Committee monthly (coordinates with all other committees for smoother operations)

- Leads the Volunteer Management Committee (a team of 5-10 volunteers)

- Coordinates closely with YAPAK Leaders (scholars) and KAP Chiefs

- Ensures accountability of 2KK to all volunteers

- Manages the overall volunteer experience for both new and regular volunteers (KPI: Volunteer Engagement Score and Net Promoter Score)

- Manages 2KK’s volunteer database and records

- Serve as 2KK representative and point-person for volunteer-related partnerships e.g. iVolunteer (attending events, coordinating, and managing 2KK’s iVolunteer account)

- Creates a volunteer manual as a guide for new and regular volunteers

- Manages volunteer recruitment programs (100-200 new volunteers yearly)

- In charge of orientation and on-boarding activities of new volunteers

- Calls for volunteers to help 2KK's programs (YAPAK and Kapatid); in charge of coordinating event details and execution with volunteers

- Converts new volunteers to regular members

- Manages volunteer retention programs (50 regular volunteers maintained on the average)

- Connects with all 2KK volunteers via group chat for updates (text/email, if needed)

- Manages 2KK’s communication lines with volunteers (Facebook group and chat)

- Organizes General Assembly of volunteers (target 1x/quarter online or face to face; including Anniversary and Christmas party celebrations)

- Helps organize activities that include volunteers such as ad hoc events (seminar/webinar event)

- Organizes online or face to face bonding sessions with 2KK volunteers and YAPAK Leaders (target 1x/quarter)

- Creates new and exciting programs to help improve volunteer retention and growth

- Explores new initiatives or programs to improve 2KK’s volunteer retention

- Manages the Volunteer Leave process (for volunteers who decide not to take an active role for the year based on the yearly survey; applicable also to new volunteers who do not continue)

Qualifications:

- Must have commitment and passion for 2KK’s purpose-mission-vision given that it is a volunteer-run foundation (volunteer time 2-3 hours per week, expected attendance in meetings and events; presence in events is particularly crucial for the Volunteer Management Director)

- Must have leadership skills, will lead and encourage volunteers to continue volunteering

- Excellent written and verbal communication skills with a diverse range of audiences including volunteers and partners

- Able to lead and attend volunteer events

- Able to work independently and as part of a team

- Detail-oriented and well-organized

- Focused and goal-oriented, takes initiative

- Problem-solving skills
